Presentation Guidelines

General information and recommendations for all attendees:

All the conference will run on the online EventWeb system. All attendees will be able to access the system using the same login and password used for paper submission or registration.

Attendees will watch talks through a special interface on the EventWeb system, while speakers will be granted direct access to the Zoom rooms, via EventWeb system.

The EventWeb system will use Zoom as the main tool for all sessions. Attendees and speakers must install the Zoom application on their devices prior to the event or during the first access to the EventWeb system. Link for Zoom download: https://zoom.us/download

Notebook/ desktop computers are preferred, although tablets/notepad/mobile phones may also be used.

Attendees and speakers must check their internet connection in order to participate in the event without interruption.

All posters will be available in the EventWeb system for all participants during the whole period of the conference.

Please, note that the schedule of the conference cannot support all the requested oral presentations. Therefore, some of the requested oral presentations will be moved to poster.

Instructions for Oral Presenters >Template<

Before the event

Prepare your oral presentation. Please note that the talk can be either in English (preferred) or Portuguese. However, slides used in the presentations MUST be only in English.

Consider a presentation of 15 minutes (total time with questions: 20 minutes). If you are an invited speaker or keynote speaker, please check the conference program for the total time of your presentation. We suggest all presentations (slides) to be numbered in order to facilitate questions. A particular template of the conference for the slides will be provided in the CBPol website, but authors can use their own template. This is also true for the video background (i.e. a particular background associated with CBPol will be available, but authors are free to use their own background).

Save the presentation file in the device you will use for the oral presentation.

Check that the Zoom application is installed in your device. For Zoom download: https://zoom.us/download

If possible, set your real name, surname and institution acronym as the user's name in Zoom application, for better interaction with other attendees and chairs.

Make sure your internet connection is stable and your headphones/ audio and voice system are ok.

In the day of the presentation

Enter the EventWeb system at least 15 minutes before the scheduled time. The preference is that you present yourself to the chair before the session starts, even if you are the last speaker. To log in to the system, use the same website, name/ email and password that you used for paper submission. Go to your speaker area and under "My presentations" click in "Join the presentation room".

When determined by the chair, share your presentation (ppt, pdf, etc).

Deliver your talk live and, after finishing, remain available to answer possible questions from the attendees.

The chair will read the questions that are submitted through the chat.

Instructions for Poster Presenters >Template<

Before the event

Prepare your poster presentation in English, as if it was for a face-to-face conference. A template related to CBPol will be available for download at the conference webpage. The template was designed to fit perfectly the requirements of the online EventWeb system. The file cannot exceed 20 MB.

Record an audio of about 3 minutes (maximum, 5 minutes) briefly explaining the poster in English (preferred) or Portuguese. Save the audio in mp3 or wmv or m4a format.

Enter the EventWeb system and log in using the same name/email and password that you used for paper submission. Click on the "> Virtual Room" option. Go to "My presentations" and then click on the title of your poster.

Upload your poster PDF file and your audio file no later than October 18th.

In the day of the presentation

Enter the EventWeb system at least 15 minutes before the scheduled time and log in using the same name/ email and password that you used for abstract submission. Click on the "> Virtual Room" option.

Go to "My presentations" and enter your poster.

Remain available during all your poster session time to answer questions from the attendees/ the awards committee members. Questions will be made and answered through the chat box available at the EventWeb system underneath each poster. Those questions and their answers will remain available for other participants to read until the end of the event.

The event organization encourages poster presenters to provide the address of a personal meeting room (on Zoom, Google meet or any other provider), external to the EventWeb system, to interact via video with the attendees in order to discuss the work. The link of the room can be shared in the chat box underneath the poster.

Register now
